How to use Assistant Jarvis Planning
1. Create your workspace
The manager creates a workspace with Google or email, becomes the organization admin and can configure services, agents and absence types.
2. Add agents
From Accounts & services, the manager creates agent accounts or sends email invitations. The free plan manages five active agents.
3. Configure absences
Paid leave is available by default. You can add time off in lieu, recovery days, training, sick leave or any useful type, with color, annual cap, half-days and validation rules.
4. Request and track leave
An agent selects an absence type, chooses dates on the calendar and submits the request. Remaining balances update according to configured counters.
5. Approve requests
The manager reviews pending requests, approves, rejects or corrects them. Notification emails and ICS exports can add events to Google Calendar, Outlook or Apple Calendar.
6. Manage on-call duties
On-call duties can be entered in the schedule to see who is assigned and to produce an annual report.
7. Generate rotations
The Rotations menu lets you choose a month or custom period and generate a schedule from constraints: day, night, minimum rest, weekend limits, consecutive days and staffing levels.
8. Adjust and regenerate
The manager can edit the preview, save it to the final schedule, reset rotations without touching leave, then regenerate if an agent becomes unavailable.
9. Export and display
CSV/XLS and PDF exports provide a horizontal, color-coded view for internal display or archiving. ICS export imports absences, on-call duties and rotations into a calendar.
10. Review history
History groups requests by agent and year, making approvals, corrections and processed absences easier to follow.
11. Accessibility
The application provides dark mode, keyboard navigation with visible focus, a skip-to-content link and accessible labels for icon buttons. These foundations help visually impaired users and screen readers.
